Who We Are

Snowy Studio is a dance studio management platform operated by ZYEYZ LLC dba Snowy Mountain Software ("we," "us," or "our"), a Montana limited liability company. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform at studio.snowy.work.

Information We Collect

Account Information: When you create an account we collect your name, email address, studio name, and role (for example owner, instructor, front desk, or parent).

Student and Family Data: To provide our services, studios enter information about enrolled students and their families, including names, dates of birth, guardians, emergency contacts, allergy/medical notes, attendance, and enrollment history.

Payment Information: Payment processing is handled entirely by Stripe. Tuition you collect from families is processed through your own connected Stripe account. We do not store card numbers or bank details on our servers; we retain only transaction records (amounts, dates, status) needed for billing and reporting.

Usage Data: We automatically collect information about how you interact with the platform, including pages visited, features used, browser and device information, and IP address.

Communications: When you contact us through our contact form or by email, we retain the content of those communications.

How We Use Your Information

• Provide, maintain, and improve the studio management platform
• Process subscription billing and send related notifications
• Send service communications (for example attendance and payment alerts)
• Respond to inquiries and support requests
• Monitor platform usage to improve performance and security
• Comply with legal obligations and enforce our terms of service

Student Data

Snowy Studio is a business tool for dance studios, not a service directed at children. Students do not create accounts or interact with the platform directly. Because the platform stores information about students entered by studio staff and guardians:

• Student data is entered and managed solely by authorized studio staff and a student's own family
• We do not collect information directly from students
• We do not use student information for marketing or advertising
• Studio administrators can access, correct, or delete student records at any time
• Student data is deleted when a studio cancels its subscription, after the 30-day export window

Data Sharing and Disclosure

We do not sell your personal information. We share data only in these circumstances:

• Service Providers: We use Stripe for payment processing, Twilio for optional SMS, and our own mail servers for email. These providers are contractually obligated to protect your data.
• Legal Requirements: We may disclose information if required by law, regulation, legal process, or government request.
• Business Transfers: If ZYEYZ LLC is involved in a merger, acquisition, or asset sale, data may be transferred as part of that transaction.

Data Security

• Encryption in transit (TLS) and encrypted backups
• Role-based access controls and per-studio data isolation
• Regular monitoring and security review

Data Retention

We retain your data while your account is active. When you cancel:

• Your data remains available in read-only mode for 30 days
• During this window you can export your data in CSV format
• After 30 days, data is permanently and irreversibly deleted

Your Rights

• Access the personal information we hold about you
• Correct inaccurate or incomplete information
• Request deletion of your data
• Export your data in standard formats
• Withdraw consent for optional data processing

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or a notice on the platform. Continued use after changes are posted constitutes acceptance of the updated policy.
